Job Description
Responsibilities:
The Coordinating Desk Officer will work with the Nigerian Renewable Energy and Energy Efficiency Alliance to support all its activities and that of its member Organisations
Tasks:
Responsible for the effective administration of the Alliance (Coordinating routine / day-to-day work); supervision of the secretariat
Oversee and coordinate Steering Committee Meetings, Committee Meetings and Membership Meetings (Agenda, minutes, etc.)
Responsible for signing certain notes, agreements, and other instruments up to a certain value or importance on behalf of the Alliance
Work closely with Steering Committee and staff to ensure that the Alliance’s mission is fulfilled through strategic planning, programs, service portfolio and to seek the SC’s involvement in policy decisions, fundraising and to increase the overall visibility of the Alliance.
Budget: Responsible for the fiscal integrity of the Alliance to include submission to the SC of a proposed annual budget and monthly financial statements, which accurately reflect the financial condition of the Alliance
Prepare budget/costs for individual projects and activities (including also the estimated overhead costs, and suggestions for how to finance them)
Coordinate the implementation of activities
Review and approve contracts for service: e.g. identify experts for training.
Initiating the development of the strategic & business plan for next 3 years and on that basis development of an annual plan of activities (Steering Committee decides, who and how exactly these plans shall be developed)
Responsible for leading the Alliance in a manner that support and guides the organization’s mission as defined by the Steering Committee
Establish and maintain relationships with various organizations and utilize those relationships to strategically enhance the Alliance’s Mission.
Representing the Alliance at top level together with representatives of Steering Committee
Responsible for communicating effectively with the Steering Committee and providing, in a timely and accurate manner, all information (e.g. progress reports) necessary for the Steering Committee to function properly and to make informed decisions.
Managing internal communication (e.g. circulating information to members, collecting information from members, etc.)
Managing external communication if delegated by the Steering Committee
Dissemination of information towards members as well as for the use of public relations
Disseminate meeting reports to relevant stakeholders
Collect and analyse data on relevant topics to share with members
Compile annual reports to share with members
Required qualifications, competences and experience:
Qualifications:
A Bachelor’s degree in any related field
Masters in Business Administration is an added advantage.
Professional experience:
Minimum of 5 years of post-graduate experience with project management
Minimum of 5 year experience in working with developing agencies/NGOs or similar
Should have a Science Background
Transparent and high integrity leadership
Experiences with financial management (including budget preparation, monitoring, reporting
Good organizational skills, including conferences and training
High analytical skills, e.g. for doing some research and analysis, for developing professional project concepts etc.
Excellent communication skills (oral and written)
Experience and skill in working with high level people (e.g. Steering Committee/ Board of Directors)
Excellent spoken and written English
Very good use of IT for project management (Microsoft Office and others)
Added advantage
Experience in using internet and social media for professional information and marketing purposes
Experience in supervising a team
High level thinking and planning. Ability to envision and convey the Alliance’s strategic future to members, SC and donors
Active fundraising experience
Other knowledge, additional competences:
Ability to work with minimum supervision
